Sending a Job Offer

How managers can create and send a job offer to a new starter using the one-touch job offer wizard

This guide is for managers who need to bring a new team member on board. assureOS provides a one-touch job offer wizard that lets you create and send an offer in a single sitting. The candidate receives an email (or text message) with everything they need to begin onboarding.

Before you begin

You will need:

  • A manager or admin account on assureOS (see Logging In for the First Time if you have not set up your account yet)
  • The candidate's first name, last name, and email address (or phone number)
  • The proposed start date for the role

Step 1: Open the job offer wizard

  1. Sign in to assureOS and navigate to your dashboard.
  2. In the sidebar, go to Admin then Job Offers.
  3. Click Create Job Offer.

The wizard will open and guide you through each step in order.

Step 2: Select the job role

Choose the position you are hiring for. You have two options:

  • Template-based offer: Select from your organisation's pre-configured job role templates. These come with default pay rates, contract terms, and onboarding tasks already set up.
  • Custom offer: If no template fits, switch to a custom offer. You will enter the job title, employment type, contract type, pay rate, and working hours manually. You can also paste or upload the contract text.

Set the start date

The start date is important. It drives the employment contract generation and determines when onboarding should be completed by. Make sure the date is accurate before moving on. If the start date changes later, you can update it from the job offer detail page, but getting it right now avoids unnecessary adjustments.

If the selected job role has a linked contract template, the wizard may also ask you to confirm or override the pay rate and, where applicable, enter a job title.

Step 3: Contract details (if applicable)

This step only appears when the selected job role has a contract template with configurable clauses.

For each clause, you can:

  • Accept the default wording
  • Choose from predefined options provided by your organisation
  • Enter custom wording
  • Leave the clause blank (where permitted)

Review each clause carefully. The wording you choose will appear in the employment contract sent to the candidate.

Step 4: Enter the candidate's details

Provide the candidate's information:

  • First name and last name (required)
  • Email address or phone number (at least one is required)

Email vs phone-only

  • If you provide an email address, the candidate will receive their job offer by email at no additional cost.
  • If you provide a phone number only, the candidate will receive the offer by text message. There is a small charge (currently £1.00) for SMS delivery, and you will be asked to confirm this before sending.

Providing an email address is recommended whenever possible.

Step 5: Choose the ID verification method

Select how the candidate's identity and right-to-work status will be verified:

  • In person: A face-to-face document check carried out by your organisation. There is no additional cost.
  • Digital verification: An online identity check. There is an additional charge (currently £11.00) for this service.

Choose the option that best suits your organisation's process.

Step 6: Review onboarding tasks

The wizard shows the onboarding tasks that will be assigned to the candidate. These are determined by the job role template and your organisation's requirements.

  • Mandatory tasks cannot be removed. These are required by your organisation for this role.
  • Optional tasks can be toggled on or off. Use the switches to include or exclude them as needed.

Review the task list to make sure it covers everything the candidate needs to complete before their start date.

Step 7: Review and send

The final step presents a summary of everything you have entered: the job role, start date, candidate details, verification method, contract terms, and onboarding tasks.

Check each section carefully. If anything needs correcting, use the Back button to return to the relevant step.

You can also add optional notes for your own reference.

Sending options

You have two choices:

  • Send Offer: Creates the offer and sends it to the candidate immediately. You will be taken to a confirmation page.
  • Save as Draft: Creates the offer without sending it. You can review, edit, and send it later from the Job Offers list.

What happens after sending

When you send the offer:

  1. The candidate receives an email (or text message) containing a link to accept the offer.
  2. If the job role has a linked contract template, an employment contract is automatically generated using the details and clause wording you provided.
  3. The candidate's onboarding tasks are created and ready for them to complete once they accept.
  4. The offer appears in your Job Offers list with a status of Sent.

Managing draft offers

If you saved the offer as a draft, you can find it in the Job Offers list with a status of Draft. From there you can:

  • Open the offer to review all the details
  • Click Send Offer to send it to the candidate
  • Make edits before sending

Can I change the start date after sending?Yes, you can update it from the job offer detail page. However, it is best to set the correct date during creation.
What if the candidate does not have an email address?You can send the offer by text message using their phone number. A small SMS charge applies.
Can I resend an offer?Yes. From the job offer detail page you can resend the invitation if the candidate has not yet accepted.
How long is the offer link valid?Offer links expire after 7 days. If the link expires, you can resend the offer to generate a new one.
What happens if I need to withdraw an offer?You can manage the offer status from the job offer detail page.
