Logging In for the First Time
A guide for admins and managers on setting up your account, completing first contact, and reaching the dashboard
This guide is for admins and managers who have been invited to join an organisation on assureOS. It covers everything from receiving your invitation email through to arriving at your dashboard.
Before you begin
You will need:
- Access to the email address your invitation was sent to
- A device with a modern web browser (Chrome, Safari, Edge, or Firefox)
Step 1: Open your invitation email
When your organisation adds you to assureOS, you will receive an email with the subject line "You've been invited to assureOS" (or similar). This email contains a unique link to set up your account.
Open the email and click the link. This will take you to the assureOS website in your browser.
Tip: If you cannot find the email, check your spam or junk folder. The email is sent from assureOS and may occasionally be filtered.
Step 2: Set your password
If this is your first time using assureOS, you will be asked to create a password. Choose a strong password that you have not used on other websites.
Once you have entered and confirmed your password, click Continue. You will be signed in automatically.
Note: If you already have an assureOS account (for example, because you belong to another organisation on the platform), you may be taken directly to the sign-in page instead. Simply sign in with your existing email and password.
Step 3: Select your organisation
After signing in, you will see the context picker. This screen shows every organisation you have access to on assureOS.
- If you belong to only one organisation, you will be taken forward automatically.
- If you belong to more than one, select the organisation you want to work in.
Step 4: Complete the first-contact steps
The first time you access an organisation, you will be guided through a short set-up process called first contact. This ensures your profile is ready before you start working. The steps are:
4a. Consent
You will be asked to review and agree to the data processing terms. Read the information provided, then confirm your consent to continue.
4b. Profile
Enter your basic profile details, including your name, address, and nationality. Make sure these are accurate, as they form the basis of your records within the organisation.
4c. Phone verification
Enter your UK mobile number. You will receive a verification code by text message. Enter the code to confirm your phone number.
4d. Continue to dashboard
As an admin or manager, you do not have a job offer to review. Once you have completed the steps above, you will see a Continue to dashboard button. Click it to finish first contact and proceed.
Step 5: Explore the dashboard
You are now on the main assureOS dashboard. What you see depends on your role:
- Admins see a team overview with quick-access panels for managing people, reviewing tasks, and handling administrative actions.
- Managers see a focused view of their responsibilities, including any pending actions and team information.
From the dashboard you can navigate to all areas of the platform using the sidebar menu.
What to do next
Now that you are set up, here are some common next steps:
- Invite team members: Go to the admin area to add colleagues to your organisation.
- Send a job offer: If you need to bring a new starter on board, see Sending a Job Offer.
- Explore settings: Review your organisation's settings, roles, and permissions.
Troubleshooting
| Problem | Solution |
|---|---|
| I did not receive an invitation email | Ask the person who invited you to resend the invitation. Check your spam folder as well. |
| The invitation link does not work | Links expire after a set period. Ask for a fresh invitation to be sent. |
| I cannot verify my phone number | Make sure you are entering a valid UK mobile number. If you still have trouble, contact your organisation's administrator. |
| I see the wrong organisation | Use the profile menu in the top corner to switch context or return to the context picker. |
